Privacy policy

How we handle information connected with your enquiry and document service.

Updated:

Responsibility and contact

Apostilled is responsible for the personal data processed to handle your enquiry and coordinate your order. Use the contact details on this page for privacy requests. A notary or issuing authority may separately control the information required for its official procedure.

Information and purposes

We use the contact details, messages and document information you provide to answer enquiries, prepare quotations and perform the agreed service. The basis is steps taken at your request before a contract or performance of that contract. Accounting duties rely on legal obligations. Site security relies on legitimate interests. Optional processing requiring consent uses that consent, which you may withdraw.

Site operation and data processing

We use service providers for website operation and hosting, live chat, and country and language suggestions. For these purposes, technical data such as your IP address and browser identifiers may be processed alongside the information you send when contacting us. To fulfil your request, we share the necessary information with the notary, competent authority, translator or delivery provider, according to the agreed services. This processing may involve transfers outside the European Economic Area, depending on the provider and where the order is fulfilled. Contact us for details of the recipients and countries involved, the legal basis for the transfer and the applicable safeguards, including a copy of those safeguards where relevant.

Retention and protection

Enquiry information is retained while needed to answer and follow up your request. Order records are retained for performance, applicable legal duties and the handling of claims. Unnecessary copies should be removed when those purposes end. Access is limited according to the task. The notary or authority follows its own statutory retention duties.

Your personal data rights

You can contact us to access your personal data or request its correction or deletion. Your rights also include restricting use, objecting to processing based on legitimate interests and receiving your data in a portable format, subject to the legal conditions for each right. We handle your request without undue delay and respond within one month of receipt. If the law permits an extension, we explain the reason and additional time within the first month. You can complain to the Swedish Authority for Privacy Protection, IMY, or the competent supervisory authority.
